Privacy policy

ChillSMP is operated by Lunars World LLC. This policy covers our Minecraft servers, our websites (chillsmp.org and map.chillsmp.org), our Discord server, and our support and ticket systems - together, the "Services".

1. What we collect when you play
- Account identifiers - your Minecraft UUID and username. Past usernames may remain in moderation and support records.
- IP address history - the IP addresses your account connects from, kept alongside your account so we can link alternate accounts belonging to the same person. This is central to enforcing bans and investigating serious reports.
- Gameplay data - your progress, statistics, balances, claims, and purchases, so the server works and leaderboards are accurate.
- Moderation records - bans and mutes, with reason, timestamps, and duration.
- Support tickets - your messages, any attachments you send, and staff replies.
2. Chat logging
We log in-game chat. We are explicit about this because some servers do not, and because where each type of message ends up differs:
- Public chat is relayed to a publicly visible channel in our Discord server. Treat anything you type in public chat as public.
- Private in-game messages are logged to a staff-only Discord channel and to logs on the game server.
- Messages caught by our automatic filters are recorded for moderation review, on the game server and in Discord.
3. Voice chat
If you use in-game proximity voice chat, your speech is transcribed to text and logged. This is not limited to incidents - it applies to voice chat generally.
Before you can use voice chat you are shown these terms in-game and must accept them. You can revoke that acceptance at any time, which stops the transcription. Your choice is remembered between sessions.
- Speech-to-text runs on our own server. Voice audio is processed by software we host ourselves and is not sent to any outside speech-recognition or AI company.
- We do not keep voice recordings. Audio is converted to text and the audio itself is discarded.
- Transcripts go to an administrator-only Discord channel and are used for moderation - harassment, threats, and similar rule breaches.
4. What we collect on our websites
- Google Analytics 4 - only if you press Accept on the cookie banner. Choose Essentials only and no analytics cookies are set at all. IP addresses are anonymised.
- No advertising cookies. We do not run ads and we do not use advertising or ad-targeting cookies anywhere on our sites.
- Essential browser storage - your cookie choice and map display preferences. No personal information, never shared.
- Web request logs - Cloudflare, which serves and protects our websites, processes request data including IP addresses in order to deliver pages and block attacks. These logs are held by Cloudflare under their own retention, not by us.
Leaderboard and marketplace pages are public by design: they show Minecraft usernames and in-game statistics. They never show IP addresses or any off-server identity.
5. Store purchases
Purchases on shop.chillsmp.org are handled by Tebex Limited as merchant of record. We receive your Minecraft username and what you bought. We never see your card or full payment details. See Tebex's privacy policy.
6. How we use your information
We use what we collect to:
- run the servers and keep your progress, balances, and claims working
- show leaderboards and marketplace statistics
- enforce our rules, and investigate reports and appeals
- detect and prevent cheating, exploits, fraud, ban evasion, and attacks on our services
- answer support tickets
- deliver what you buy from the store
- diagnose crashes and keep the servers stable
- meet legal obligations where they apply to us
We process this data because it is necessary to operate and protect the Services, and - where we ask for it, such as analytics cookies or voice chat - because you have given your consent. You can withdraw that consent at any time. We never sell your data, and we never use it for advertising or ad profiling.
7. Who else touches your data
We do not sell personal information. We share it only with the providers that run the Services:
- Discord - hosts our community and the chat, voice-transcript, and moderation logs described above. Privacy policy
- Tickets Bot - runs our Discord support tickets and stores your ticket conversations and any attachments on its own servers. Privacy policy
- Cloudflare - serves our websites and protects them from attacks; processes request data including IP addresses. Privacy policy
- Tebex - store payments. Privacy policy
- Google Analytics 4 - website usage statistics, only after you consent. Privacy policy
- mc-heads.net - renders player avatars on leaderboards from your Minecraft UUID.
- Our server hosts - the providers running our game servers and infrastructure.
We may also disclose data where the law requires it, or to protect the safety of our players and our infrastructure. Our infrastructure and providers may process data in the United States and other countries, which may have different privacy laws than the country you play from.
8. How long we keep it
We keep data for as long as it is useful for running the server, moderating it, and keeping players safe. In practice that means:
- Voice transcripts and chat logs: kept while they remain useful for moderation and investigating reports. We do not delete these on a fixed schedule.
- Game server console logs - the log files a Minecraft server writes as it runs, containing startup messages, plugin output, errors, and command activity: kept for up to 6 months, then deleted automatically.
- Support tickets: stored by Tickets Bot, which retains them indefinitely. We cannot selectively delete transcripts from it.
- Account IP history, and ban and mute records: kept indefinitely - see below
We keep IP history and moderation records indefinitely, deliberately. Our ban system records the IP addresses an account has connected from so we can identify alternate accounts belonging to the same person. This is how bans stay enforceable and how we investigate serious reports.
A ban for harassment, threats, or putting other players at risk has to still work years later. If we deleted these records on a timer, someone could return simply by waiting long enough, and we would have no way to recognise them. Community safety is the reason, and it is why this is the one category we do not put an expiry date on.
Deleted data may still exist in our backups for a period afterwards, until those backups are rotated out on their normal schedule.
9. Security
We limit access to player data to authorised staff, and voice transcripts further to administrators only. No system is perfectly secure, but we apply safeguards appropriate to how sensitive the data is.
10. Children
ChillSMP is not intended for children under 13. We do not knowingly collect information from anyone under 13.
Voice chat has its own gate: before using it you must confirm that you are at least 13 and accept the in-game voice terms. That acceptance can be withdrawn at any time, which stops the transcription.
If you are a parent or guardian and believe your child under 13 has an account, email mgmt@lunarsworld.com and we will delete their information. You do not need a Discord account to contact us about this.
11. Your rights
Depending on where you live, you can ask us to:
- tell you what data we hold about you
- correct anything inaccurate
- delete your data, where we are not required to keep it for safety, moderation, or legal reasons. Support ticket transcripts are an exception we cannot always honour, because they are held by a third-party ticket system we cannot selectively delete from
- withdraw a consent you previously gave, such as analytics cookies or voice chat
Email mgmt@lunarsworld.com, or open a ticket on our Discord. We may ask you to prove you control the Minecraft account in question, so that nobody can request someone else's data. We aim to respond within 30 days.
Ban and mute records are the exception to deletion, including the IP addresses linked to them. Erasing them on request would let a banned player return simply by asking, which would defeat the purpose of banning anyone and put the rest of the community at risk. We will still tell you what we hold and why.
12. Changes
If we change how we handle your data we will update this page and the date at the top. Material changes will be announced in our Discord.
